We are seeking a highly professional and proactive Team Assistant to provide high-level administrative and general support to two SVPs: the SVP, Content & Channels and the SVP, Strategy & Growth within our global sports marketing agency. This is a pivotal role requiring exceptional organisational skills, discretion, adaptability, and the ability to juggle multiple priorities in a fast-paced, high-performance environment.

Key Responsibilities and Accountabilities

Diary and meeting management

  • Own diary management for both SVPs: schedule, reshuffle, resolve clashes, and protect time for preparation and priority work.
  • Set up meetings end-to-end (Teams links, rooms, dial-ins, attendee lists), often across time zones.
  • Make sure meetings are set up properly: right people, right length, clear purpose.

Meeting prep and follow-through

  • Pull together agendas, briefing notes and background so the SVPs are prepared.
  • Keep simple action lists from key meetings and follow up with owners to close loops.
  • Maintain a small set of trackers (priorities, actions, key stakeholder follow-ups) so nothing slips.

Stakeholder support and communication

  • Act as a first point of contact for internal and external stakeholders when appropriate.
  • Triage inbound requests, spot what matters, and make sure responses and follow-ups happen quickly.
  • Draft and tidy emails, notes and short documents in the SVPs' style when needed.

Travel, expenses and admin

  • Book and coordinate travel (flights, hotels, ground transport) and produce clear itineraries.
  • Manage expense submissions on time and to policy.
  • Support basic invoice / PO administration where needed.

Documents and presentation support

  • Format and polish presentations and papers to "exec-ready" standard (PowerPoint and Word).
  • Turn rough notes into clear, well-structured documents.
  • Keep files organised (version control, naming, folders) so we can find what we need fast.

General support

  • Support on team and office admin tasks where useful and within scope.

Skills & Experience

  • Highly organised and reliable — you don’t drop details.
  • Strong judgement and prioritisation — you can handle trade-offs without drama.
  • Clear communicator — confident with senior stakeholders and direct when needed.
  • Strong written skills — you can draft, edit and improve emails and short documents.
  • Excellent attention to detail — dates, times, names, attachments and versions.
  • Strong Microsoft Office capability: Outlook, PowerPoint, Word (Excel helpful).
  • Proactive working style — you anticipate issues and fix them early.
  • Professional, discreet, and calm under pressure.
  • Confidentiality & Discretion: Handle sensitive information with the utmost discretion and professionalism.

Knowledge and Experience

  • Experience supporting a senior leader (EA/PA/Team Assistant or similar), with strong diary management.
  • Experience coordinating travel and managing logistics, including time zones.
  • Experience producing high-quality documents and presentations (PowerPoint and Word).
  • Experience handling sensitive information with discretion.
  • Comfortable working in a fast-paced environment where priorities change.
  • Experience with expenses and basic finance admin (invoices, POs, trackers).
  • Comfortable handling business documents (e.g., contracts) carefully and accurately.

Working Conditions

  • This is a full-time permanent position based in Chiswick Business Park, London
  • Working hours are Monday to Friday, 9am - 5pm
  • Working with a global team, liaising with those travelling in different time zones (being open to calls outside office hours, if occasionally required)
  • Unsocial hours, dictated as and when by the demands of the business schedule.
